Fireflies AI Is Worth It Only If You Pay for Autofill
Fireflies AI is worth Business at $19/seat billed yearly if you will review HubSpot Autofill drafts. Skip Pro. This is the meeting-notes app, not Adobe Firefly.

Fireflies AI is worth Business at $19/seat billed yearly if you will review HubSpot Autofill drafts. Skip Pro. This is the meeting-notes app, not Adobe Firefly and not the insect.
The trade-off is a visible Fred bot and speaker-label misses, against a vendor 99% English claim.
Fireflies.ai Corp. transcribes calls, writes summaries, and (on Business and Enterprise) drafts HubSpot or Salesforce field updates for a human to approve. Granola is the bot-free personal notepad. Remote teams buy Fireflies for leftover work after the call: notes, next steps, a searchable archive.
Unlimited transcription sits on every plan, including Free. The product still fails two jobs people assume it finishes: silent CRM writeback on cheap seats, and speaker names when talk overlaps.

Fireflies is an AI meeting notetaker that joins Google Meet, Zoom, and Teams as a bot, or captures system audio through a Desktop App when a bot cannot enter. It stores transcripts, summaries, action items, and AskFred answers across a workspace.
Krish Ramineni (CEO) and Sam Udotong (CTO) founded Fireflies.ai Corp. in 2016. TechCrunch covered a $14 million Series A led by Khosla Ventures on 24 May 2021, after a Canaan seed.
There has been no primary round since. The company says it has been profitable since 2023 and closed a $1 billion tender offer on 12 June 2025 (secondary liquidity, not new capital). Hindu Business Line described a ~120-person remote team in June 2025.
Vendor scale claims from that BusinessWire note: 20 million people, 500,000+ organizations, 75% of Fortune 500. Treat those as claims. G2 lists 753 reviews; Trustpilot lists 524.
The 2026 product is mid-pivot. Daily Briefs, Email Assistant, and Voice Agents push Fireflies from silent notetaker toward an action-taker.
If your calendar is already an async meeting problem, Fireflies is capture and retrieval, not a reason to keep the live call.
Vendor copy still leads with 99% English accuracy, 95% on other languages, and 100+ languages as of 31 August 2026. Transcription is not translation. A French call yields a French transcript, summary, and action items.
That 99% figure is a vendor claim. Independent write-ups contradict it on speaker labels, not on a word-error number you should average.
Competitor and affiliate pages float 91% or 92% with no shared test set. Do not treat those as a substitute fact.
The recurring failure is diarization. Bot capture can attach speaker labels. Desktop App Take Notes, uploads, mobile capture, overlaps, and muddy audio often land as Speaker 1 and Speaker 2, then need a manual rename or split.
On Reddit, people who ran Fireflies across a dense month of calls still flag the same miss. Speaker labels slip in fast conversation, and longer calls can sit 10 to 15 minutes before the transcript appears.
Summaries can still look clean while the who-said-what column is wrong. That is the accuracy question that matters for CRM Autofill, because a mis-attributed objection becomes a wrong HubSpot note.
George Vlasyev ran five bots in one Google Meet. Fireflies joined with no extra install, and the chatbot recalled every tool in the room. He did not test languages, Autofill, or Deal Intelligence.
"Based on this live test, in my opinion, Fireflies comes out on top. It gave the most accurate answers, the summary layout is the cleanest, and the interface is super easy to use. I had no trouble getting around. The only downside is that it doesn't include video recording on the free plan, but honestly, that's not a dealbreaker for me."
George Vlasyev (4:16)
Use summaries and AskFred as the product. Use the transcript as a draft you still scan for names. If you need a courtroom-grade record, Fireflies is the wrong category.

This is the axis ranking reviews skip, and it is the reason to pay.
Layer A is logging. Fireflies can send notes, transcripts, and action items onto records in 13 CRMs. The list is Affinity, Attio, Close, Copper, Freshsales, HubSpot, Microsoft Dynamics 365, Pipedrive, Salesflare, Salesforce, Zendesk Sell, StartDeliver, and Zoho, plus a shorter related list (GoHighLevel, Redtail, Monday CRM, Wealthbox).
Logging is a recap landed on the deal. It is not a stage change, a close date, or a next-step field.
Layer B is Autofill plus Deal Intelligence. That layer is HubSpot and Salesforce only, on Business and Enterprise. After a meeting, Fireflies drafts Contact, Company, and Deal property updates (append or overwrite per field). Nothing syncs until a human reviews, and each extraction costs 1 AI credit.
Deal Intelligence (Analytics → Sales) adds a table and Kanban with AI close probability, follow-ups, risks, budget, and close dates, each alert tied back to a quote. An admin connects it once for the workspace. Other CRMs are “soon.”
Marketing copy describes Autofill as an AI Skill without a clear plan gate. Autofill CRM docs gate it to Business and Enterprise. Trust the KBs.
On Reddit, buyers still collapse “meeting summarizer” and “CRM automation.” A transcript in HubSpot is not pipeline hygiene.
"The real fix ended up being a Zapier automation that created a HubSpot activity card when a recording landed in the Fireflies folder, so reps saw their own notes pop up without extra work."
u/Bartfeels24 in r/SaaS (March 2026)
That commenter also described mandating Fireflies, watching adoption stall because reps forgot to record, then seeing compliance jump after the extra click disappeared. Treat those percentages as a story, not an outcome study.
Capture is cheap. CRM adoption is plumbing plus review.
If you are on Free or Pro, you never see Autofill. If you are on Business and skip the review queue, you also never get field updates.
Fireflies’ conversation intelligence is meeting analytics, not Gong.
Per meeting, Smart Search adds AI filters, sentiment, speaker talk-time and words per minute, and topic trackers. That per-meeting layer is on Pro as well as higher tiers.
The Analytics Dashboard aggregates that across the team and is Business and Enterprise only. Product copy also lists questions asked, longest monologue, filler words, and talk-to-listen.
That is meeting analytics and light sales coaching at $19-$39/seat billed yearly, plus credit-gated sales skills (Customer Insights, Sales Qualification, Follow-Up Email, Sales Coaching, Competitor Insights).
Fireflies’ own vs-Gong post cites public Gong pricing at $1,200+ per seat per year before platform fees. If revenue intelligence is the job (deal scoring across the full funnel, enablement workflows, enterprise RevOps), Fireflies is the wrong comparison set.
LinkedIn copy from Fireflies pitches Deal Intelligence as quote-backed slip alerts and next steps. Useful as the company’s CI story. Not a measured win rate.
AskFred is the other intelligence surface. After a call you can ask follow-ups, extract lists, or run Global AskFred across meetings, connected apps, and web search.
"We have this new capability called Ask Fred. After the meeting I can ask Fred any question about a meeting or conversation or podcast and [it] will give me answers. I don't even have to go through the notes anymore. I don't have to go through the recording. I just asked Fred any question."
Krish Ramineni (19:47)
AskFred on Live Assist consumes AI credits. A Fireflies MCP server connects meeting data to Claude, ChatGPT, and other tools (launched 2025).
For a remote team with unread recap docs, AskFred can replace opening the file. It does not replace a Gong-class coaching program.
Two different Freds. Mix them up and the SERP will too.
Fred the bot is the participant named Fireflies. Google’s “How to stop Fred” cluster is about this participant, not the chatbot.
A LinkedIn post calling Fireflies “terribly invasive” still ranks near the top of the naked fireflies ai query. YouTube host Shantanu thought Fireflies was a person’s username until the recap landed.
"people just stop being candid when they see 'fireflies' or 'otter' in the participant list. it changes the whole vibe."
u/udede in r/SaaS (January 2026)
"Suddenly one of the participants opened up Fireflies. I did not know what it was. I thought Fireflies was like the name of a user... then I realized it's a note-taking AI tool."
Shantanu (The BarberShop with Shantanu, 0:59)
The bot remains the full-feature default. The Desktop App and Live Assist (13 November 2025) capture system audio without joining as a participant (Zoom-blocked rooms, Slack huddles, in-person). You lose speaker labels and Sales Assist on that path.
Chrome extension capture is also bot-free on Google Meet. On Reddit, practitioners already split the stack for customer interviews: Fireflies internally, device capture when the participant list has to stay clean. Same instinct as skipping a bloated video stack in Zoom alternatives when the call is really a voice note.
AskFred is the Q&A layer above. Stopping Fred the bot does not turn off AskFred.
Official privacy: SOC 2 Type II, GDPR, HIPAA on request with a BAA, AES-256 at rest, TLS in transit, no training on User Content by default, zero data retention with vendors. The privacy policy last updated 6 March 2026.
Responsible-notetaking docs cover auto-join, invite-only, or per-teammate. If any participant opts out, Fireflies will not join.
Recap-link recipients do not need an account. Fireflies still tells you that you are responsible for recording and consent law.
Company posts in 2026 add a pre-meeting email with a decline link, skip rules by title or domain, notes-only / no recording, and auto-wipe. Those are product controls, not a legal opinion.
Cruz versus Fireflies.AI (case 3:25-cv-03399, Central District of Illinois) is a complaint filed 18 December 2025, covered by Law.com and the National Law Review. Plaintiff Katelin Cruz (Illinois) says she never created an account, never accepted terms, and never gave written BIPA consent on a meeting around 18 November 2025.
The complaint theory: Speaker Recognition produces voiceprints, which Illinois treats as biometric identifiers. Alleged failures include no public retention schedule, no written notice of purpose and duration, and no written release from non-account participants. Damages sought: $1,000 negligent / $5,000 reckless per violation, plus fees and an injunction.
These are allegations, not findings. Docket status was not independently confirmed. This is not legal advice.
If you run Fireflies on Illinois calls, or on any call with guests who never clicked Join as a Fireflies user, read the complaint coverage and your own counsel. Do not treat a SOC 2 badge as a substitute for consent.
Shop by job, not brand heat.
Otter.ai wins live collaboration and captions. Head search volume sits far above Fireflies. Live Pro pricing as of this research pass: $16.99/mo or $8.33/mo billed yearly, with a minutes cap (1,200 recording minutes, 90 minutes per meeting on Pro).
Basic is $0 with 300 monthly minutes and a 30-minute conversation cap. Pick Otter when people need to read the call while it happens. Pick Fireflies when you want an archive, cross-call search, and a CRM path.
Fathom wins the generous free tier: unlimited recordings and transcriptions, instant summaries, bot or bot-free beta, $0 forever. Team is $19/mo ($15/mo billed yearly, two-user minimum). Business is $34/mo ($25/mo billed yearly) and is where CRM field sync and Deal View show up.
Fireflies undercuts Fathom on paid seats ($10 vs $16 annual Pro/Premium-class) until AI credits enter the bill.
Granola is the 2026 foil the original Otter and Fathom cluster missed. Basic is $0, Business is $14/user/mo, and Enterprise is $35.
Granola is a personal editable notepad from device audio. Fireflies is a team transcript library, workspace, and CRM system.
Bot-free is no longer a clean split, because Fireflies now has a Desktop App. The remaining difference is where the note lives: a private document you edit, versus a shared meeting system other people search.
Google Trends US 12-month averages in the research pass ranked Granola above Fireflies. That is attention, not quality.
For an all-hands meeting, Fireflies’ archive is the point. For a founder 1:1 you do not want in a company library, Granola matches the room.
Read.ai, tl;dv, Zoom AI Companion, and Jamie belong on a different shortlist.

Canonical dollars come from the July 2026 blog, the billing KB, and the AI credits KB. Live /pricing is a feature matrix. Affiliate pages still reprint $18 as if it were the only Pro price, or 800 free minutes as if 2025 never ended.
Plan | Price | Key Features | Best For |
|---|---|---|---|
Free | $0 | Unlimited transcription and summaries. 400 min team storage. No downloads. No video. | Trying capture, not CRM |
Pro | $18/mo ($10/mo yearly) | Downloads, 720p video, Personal Assistant, individual analytics. ~8,000 min/seat | Solo archive, no Autofill |
Business | $29/mo ($19/mo yearly) | Team CI, Autofill, Deal Intelligence, API, 720p, 30 credits | HubSpot/Salesforce teams |
Enterprise | $39/mo yearly only | 1080p, SSO, SCIM, private storage, HIPAA on request + BAA, 50 credits | Security-led orgs |
Every plan includes unlimited transcription and unlimited AI summaries. Prefer the July blog's "per team" wording.
A Free-plan KB still says “per seat” in places. Check the live meter on your workspace before you promise seats a personal 400-minute bucket.
Transcription, summaries, recap emails, and Tasks do not consume AI credits. Credits meter AskFred on Live Assist, Autofill, Voice Agents, Magic Soundbites, AI Skills, Personal Assistant Daily Digest / Meeting Prep, Sales Assist, and Slack Assistant.
Signup allotment is one-time, team-pooled, and does not scale with seats: Free/Pro 20, Business 30, Enterprise 50. An upgrade replaces the pool; it does not stack.
Packs run $5/50 through $600/10,000. Unused purchased credits do not roll, and auto-renew is on.
Trustpilot has a 1-star thread alleging silent credit auto-upgrade. Treat that as a complaint, then watch billing.
Storage is total minutes stored, not a monthly refresh. Upload, API, and dialer overage is $0.01/min. Live bot and Google Meet via the Chrome extension have no rate limit in that KB.
Vs Otter, Fireflies is cheaper per seat on paid annual Pro until credits hit. Vs Fathom, you pay for CRM depth that Fathom holds for Business. Vs Granola Business at $14, Fireflies Business at $19 buys the team system, not a cheaper notepad.

If Autofill into HubSpot or Salesforce is why this tab is open, start on Business. A Pro trial will not grow into that layer. Price credit packs before you roll Autofill across a 20-person pod: each extraction burns one credit, the signup pool does not grow with seats, and unused purchased credits do not roll.
